What Is Microsoft Entra ID? A Guide for Business Owners

Microsoft Entra ID, formerly Azure Active Directory, is the identity behind every Microsoft 365 sign-in. Here is what it does and what to check in yours.

Key takeaways
Microsoft Entra ID (formerly Azure Active Directory) is the directory that holds every user, group, guest and admin role in your Microsoft 365 tenant and decides who can sign in.
Business Basic and Standard include the free tier; Business Premium includes Entra ID P1, which adds Conditional Access, while P2 adds risk-based protection and governance tools.
A short yearly check of admin accounts, MFA coverage, stale accounts, guests and app consent catches most identity problems in a small firm.

Microsoft Entra ID is the identity service behind Microsoft 365. Every time someone signs in to Outlook, Teams or SharePoint, Entra ID checks who they are, applies your sign-in rules and decides what they can reach. It was called Azure Active Directory until Microsoft renamed it in 2023; the service, features and licensing did not change. If you have Microsoft 365, you already have Entra ID.

Why it matters to a business owner

Your Entra ID directory is effectively the master key list for the firm. It holds every employee account, every guest from outside the company, every administrator and every app that has been given access to your data. If that list is wrong, out of date or too generous, the strongest firewall in the world does not help.

Many identity problems in small firms are housekeeping, not hacking: former employees whose accounts still work, too many people with full admin rights, and guests nobody remembers inviting. Entra ID is where you find and fix them.

What Entra ID does

Users and groups
Each person gets one work account. Groups let you grant access to a team, site or app once instead of person by person.
Multi-factor authentication (MFA)
The second check at sign-in, such as an Authenticator app approval or passkey. Free tenants get MFA through Security Defaults; paid tiers add finer control.
Single sign-on (SSO)
Staff use their Microsoft 365 account to sign in to other cloud apps, such as a CRM, payroll or document management system, so there is one account to secure and one to switch off.
Guest accounts
People outside the firm, such as clients or consultants, can be invited as guests to Teams or SharePoint using their own credentials.
Admin roles
Built-in roles let you give someone exactly the access they need, for example resetting passwords, without making them a full administrator.
Sign-in rules
With P1 or higher, Conditional Access policies decide when to allow, challenge or block a sign-in.

Free, P1 and P2 at a high level

Microsoft sells Entra ID in tiers. The summary below reflects Microsoft's documentation as of this writing; features and bundles change, so confirm against Microsoft's current pricing pages.

Entra ID Free
Included with Business Basic and Business Standard. Covers user and group management, directory sync from an on-premises server, basic reports, single sign-on to Microsoft 365 and many popular cloud apps, and Security Defaults.
Entra ID P1
Included with Business Premium. Adds Conditional Access, dynamic groups that update membership automatically, self-service password reset that writes back to an on-premises directory, and more hybrid features.
Entra ID P2
Adds Microsoft Entra ID Protection for risk-based sign-in rules, Privileged Identity Management for just-in-time admin access, and access reviews. Business Premium firms can get P2 through add-ons such as Microsoft Defender Suite for Business Premium.

Admin roles and least privilege

Global Administrator can change almost everything in your tenant. Microsoft recommends assigning it to fewer than five people and using narrower roles for day-to-day work, such as Helpdesk Administrator for password resets or User Administrator for creating accounts. That idea, giving people only the access they need, is called least privilege.

In practice, admins should also use a separate admin account for admin work, protected by strong MFA, rather than their everyday mailbox account. Microsoft also recommends two cloud-only emergency access accounts so a misconfigured sign-in rule cannot lock everyone out.

If you still have an on-premises server

Many firms that once ran a Windows server still have Active Directory on-premises and sync those accounts to Entra ID. That is called hybrid identity. Microsoft offers two sync tools: Microsoft Entra Connect Sync, an application installed on a server, and Microsoft Entra Cloud Sync, which uses lightweight agents managed from the cloud.

Microsoft recommends Cloud Sync for new setups and, as of this writing, is moving eligible organizations from Connect Sync to Cloud Sync in phases, notifying each organization when its turn comes. Very old Azure AD Connect version 1 installations are retired and unsupported. If your firm has moved files and email to the cloud, it may be worth asking whether you still need the on-premises directory at all.

A practical Entra ID checklist

Take a 20-person law firm that has been on Microsoft 365 for six years. A yearly review would cover:

1. Global Admins: count them. Fewer than five, ideally two named people plus emergency accounts. Move everyone else to narrower roles.
2. MFA coverage: confirm every account, including partners and the office manager, is registered and required to use MFA. Look for exceptions that were meant to be temporary.
3. Stale accounts: list accounts with no recent sign-in and anyone who has left. Block sign-in, transfer data, then remove them according to your offboarding process.
4. Guests: review guest accounts, who invited them and whether they still need access. Decide who in the firm is allowed to invite guests.
5. App consent: check which third-party apps have been granted access to mail, files or profiles. By default, users can consent to some app permissions themselves; Microsoft recommends limiting user consent to apps from verified publishers and using an admin approval process for the rest.
6. Sync: if you sync from an on-premises server, confirm which tool and version you use and that it is supported.
7. Licensing: confirm which Entra ID tier you have, so you know which features you can actually use.

Common mistakes

• Using the original setup account, often a former IT contractor's, as the only Global Admin.
• Removing a license instead of disabling and properly offboarding an account, leaving sign-in possible.
• Letting anyone invite guests or approve apps without a second look.
• Assuming Entra ID access reviews are available everywhere. They require P2 or Microsoft Entra ID Governance, so Business Premium firms usually review guests and roles manually.

How NexJen can help

We offer a fixed-scope Microsoft Entra ID consulting engagement. It is advisory: a read-only review of your directory, admin roles, MFA coverage, guests, app consent and sync setup, followed by written, risk-rated findings, a roadmap and a readout call. We do not change your tenant under consulting; implementation is quoted separately or can be folded into our NexJen Essentials managed plan.

The engagement is open to any business, with no long-term contract. We quote it based on your tenant size and scope.

Common questions

Is Microsoft Entra ID the same as Azure Active Directory?

Yes. Microsoft renamed Azure Active Directory to Microsoft Entra ID in 2023. Existing setups, sign-in addresses and licensing continued to work the same way.

Do I have to buy Entra ID separately?

No. Every Microsoft 365 subscription includes at least the free tier. Business Premium includes P1. P2 is available as an add-on or standalone license.

Is Entra ID the same as Windows Server Active Directory?

No. Active Directory runs on servers in your office; Entra ID is a cloud service. They can be connected through sync, which is common in firms that are partway through a move to the cloud.
