If you have asked three managed service providers (MSPs) for a quote, you have probably received three numbers that are hard to compare. One is per user, one is per device, and one has a long list of add-ons. This guide explains what managed IT typically costs in 2026, what is usually included at each price point, and the questions that make quotes comparable.
The short answer
Most managed IT for small businesses is priced per user, per month. Industry pricing guides published in 2026 put basic plans at roughly $100 to $150 per user per month, standard plans at roughly $150 to $200, and premium or fully managed plans at $200 to $300. We have not seen evidence that Texas pricing differs much from these national ranges; scope matters far more than geography.
Our own plan, NexJen Essentials, is $149 per user per month on a 12-month agreement, with a one-time $499 setup fee and a five-user minimum ($745 per month). We publish that number because we think you should be able to compare it.
What usually separates a $100 plan from a $250 plan
The price difference between plans is mostly about what is included versus sold separately. When you compare quotes, check each of these:
A low monthly number that excludes security, backup and Microsoft 365 management often ends up costing more once those pieces are added back.
Per user or per device?
Per-user pricing covers each person and, usually, the devices they use. Per-device pricing charges for each computer, server and network device separately. Per-user pricing is simpler to budget for most office-based teams that work in Microsoft 365. We cover the trade-offs in detail in our guide to per-user versus per-device pricing.
A worked example
Take a 12-person accounting firm that runs on Microsoft 365 with one laptop per person. On NexJen Essentials, the monthly fee is 12 x $149 = $1,788, plus a one-time $499 setup fee. That covers business-hours help desk support, Microsoft 365 management, endpoint protection with MDR, Microsoft 365 backup, 24/7 automated monitoring and patching, a security baseline with multi-factor authentication, and onboarding and offboarding of staff.
Microsoft 365 licenses are usually separate. By default you keep your own Microsoft subscription and pay Microsoft directly, so compare quotes on the same basis.
Costs that are easy to miss
How to compare quotes fairly
Put each quote into the same table: monthly cost for your headcount, what is included, what is extra, setup fees, contract term and response targets. Ask every provider for their written response targets, and whether they are targets or guarantees. Then compare the total yearly cost, not the headline per-user number.
Common questions
How much do managed IT services cost per user in 2026?
Industry pricing guides put most small-business plans between about $100 and $300 per user per month, depending on what is included. NexJen Essentials is $149 per user per month on a 12-month agreement.
Is managed IT cheaper than hiring an in-house IT person?
For most small teams, yes. A full-time IT employee costs a salary plus benefits and covers one person's skills and hours. A managed plan spreads tooling, monitoring and expertise across many clients for a predictable monthly fee.
Are Microsoft 365 licenses included in managed IT pricing?
It depends on the provider. With NexJen, you keep your own Microsoft subscription by default and pay Microsoft directly. If it is simpler, we can quote licenses, and anything we supply is listed on your order form.
Is there a setup fee?
Many providers charge one. Ours is a flat one-time $499 setup fee.
